SET THE PAYOUT BOUNDARY BEFORE YOU EXPORT

A payout batch needs a fixed approval snapshot. Do not keep changing commissions while the file is under review.

Create a payout register for each run. Give it a batch ID, payout period, currency, reviewer name, export timestamp, and expected total.

Review the records that affect payment

Before sending PayPal affiliate payouts, validate each payout row against the approved Rewardful record.

  • Confirm the affiliate is active and approved for payment.
  • Verify the PayPal email address with the affiliate’s current payout profile.

Follow the same sequence every time.

  1. Close the Rewardful payout period. Stop changes to the commission set while the batch is being reviewed. Keep refunds, reversals, and late adjustments in the next cycle unless your approval policy says otherwise.
  2. Approve the payout register. Compare the number of affiliates and payout total with the prior period. Investigate large changes before you export the payment file.
  3. Export the due payout list from Rewardful. Use the PayPal-compatible output setting where available. Save the original export without editing it.
  4. Create a working upload file. Split it by currency if needed. Compare the headers, recipient count, and payment total with PayPal’s current CSV requirements.
  5. Open the verified PayPal Business account. Confirm that the available balance covers the full payout amount plus PayPal fees. Use the business account that owns the affiliate expense.
  6. Upload and review the batch in PayPal. Check the number of recipients, currency, total amount, and fee before approval. A second reviewer should compare the PayPal preview with the approved payout register.

AUTOMATE ONLY AFTER A CONTROLLED LIVE PILOT

Automation removes repeated file work. It does not remove payment controls.

Use the direct integration only where it is enabled

If your Rewardful account offers a direct PayPal or Payouts API path, configure it with the same approval rules used for CSV runs.

Rewardful prepares the affiliate payout data. PayPal evaluates the payment request and handles recipient delivery. Keep those records separate.

PayPal says Payouts API access requires a verified PayPal Business account and a business review. Read the live Payouts API application requirements before building around the API.

Do not hard-code an assumption about account approval, country coverage, or recipient eligibility. Those conditions can change.

Reconcile each payout item, not only the batch

Your automation should create a unique internal batch ID and a unique payout ID for each affiliate. Store the Rewardful payout reference, PayPal batch reference, recipient email, currency, requested amount, status, and timestamp.

Use clear internal states such as Draft, Approved, Submitted, Paid, Failed, and Needs Review. Only move a record to Paid after PayPal returns a successful item-level result.

A sandbox can test credentials, field mapping, and duplicate-request handling. It does not prove that production recipients are eligible or that live fees, limits, and currencies will match the test result.

A successful API response can mean PayPal accepted the request. Your reconciliation still needs to confirm the outcome for every affiliate.

CONTROL FEES, LIMITS, AND COMPLIANCE

PayPal fees are part of the payout cost. Your affiliate commission total is not always the amount your PayPal balance must cover.

Check live pricing before every batch

PayPal fees, processing times, transaction limits, recipient eligibility, currency support, and compliance rules can change. Check the live PayPal payment screen before you approve a batch.

PayPal’s Payouts overview describes currency-based fee caps and payout requirements. Use it as a starting point, then rely on the fee and funding details shown in your own account.

Do not promise affiliates a delivery time that PayPal has not confirmed. A payment can be delayed by account reviews, recipient restrictions, funding issues, compliance checks, or local currency rules.

Keep a recovery record

Store the approved Rewardful export, working file, reviewer decision, PayPal batch reference, item-level result, and final Rewardful status.

Keep the last trusted payout register. If an import fails or a team member changes a spreadsheet incorrectly, you need a known-good record to compare against.

Measure accepted payouts, not uploaded rows. A batch that requires hours of corrections has not saved your team time.

TROUBLESHOOT FAILED OR PENDING PAYOUTS

A failed payout and a pending payout need different actions. Do not send another payment until PayPal shows the first payment’s final state.

Handle exceptions one recipient at a time
