How to Distribute Referral Promotional Materials Using Rewardful

A referral program fails when affiliates have a link but no clear way to promote it. They guess the message, use an old logo, or never share anything at all.

A Rewardful referral program needs more than tracking and commission rules. It needs a working asset system that gives every affiliate the right link, approved copy, banners, and offer details at the moment they are ready to post.

Build the distribution process before you invite your first partner. It will save your team from support requests, broken links, and inconsistent promotion later.

BUILD THE MATERIALS SYSTEM BEFORE YOU INVITE AFFILIATES

Start with the promotion job you want affiliates to complete. A SaaS founder may need trial signups. A customer referral program may need paid subscriptions. A partner campaign may need demo requests from a defined market.

Keep the old record when a message changes. Add a new version instead of overwriting the first one. You need to know which copy was active when a partner asks about a result.

Keep the kit small at launch

A large folder of 40 graphics creates delay. Your first kit can use five practical items:

  • A referral link with a clear destination.
  • One short email message.
  • Two social post options.
  • One product image or banner.
  • A short FAQ covering the offer and commission rules.

CONFIGURE YOUR REWARDFUL REFERRAL PROGRAM FIRST

Don’t distribute promotional material until referral tracking works. An attractive email template cannot repair a missing referral cookie or a checkout path that drops attribution.

Open the campaign you plan to use. Review the reward, commission timing, attribution rules, and allowed traffic before publishing a single asset.

Test the path as a new visitor:

  1. Open an affiliate’s referral URL in a private browser window.
  2. Visit the landing page.
  3. Start the signup or checkout flow.
  4. Complete a controlled test where your billing setup allows it.
  5. Confirm the referral appears against the correct affiliate.

A referral link is only useful when the visitor can move from that link to a completed purchase without losing attribution.

Separate program rules from promotion copy

Affiliates need short copy. Your team needs the full rules.

Keep a one-page program policy outside the promotional asset itself. Cover self-referrals, paid ads, trademark bidding, coupon sites, incentive traffic, duplicate accounts, refund handling, and prohibited claims.

A social post should not carry 800 words of policy text. It should link to a current page that does.

ADD FILES, LINKS, AND TEXT IN REWARDFUL

Rewardful now provides an Assets area for promotional materials. Merchants can publish File, Link, and Text assets for affiliates to access inside their dashboard.

That makes distribution easier. It does not remove the need to organize what you publish.

REWARDFUL-SPECIFIC STEP: Publish usable asset types

Use File assets for approved visual materials. Current supported uploads include JPG, PNG, and PDF files, with a 25 MB limit per file.

Use Link assets when an item needs to stay live outside Rewardful. Good examples include a Notion campaign brief, a product demo page, a Canva template, a Google Drive folder, a webinar registration page, or a landing page with current screenshots.

Use Text assets for copy affiliates can paste into an email, LinkedIn post, newsletter, or community post.

Publish with a naming rule

Affiliates scan fast. They won’t open five files named “final-banner-new-v2.”

Use names that explain the channel and purpose:

  • Email copy: annual plan offer”
  • “LinkedIn post: founder audience”
  • “Banner: newsletter 1200 x 628”
  • “Product screenshot: dashboard view”
  • “Landing page: referral program details”

Include the destination page and expiration date inside the asset description when relevant. A launch discount with no end date will keep circulating after the offer ends.

Published assets are available to affiliates across campaigns. Check that exposure before you publish a private partner deck or campaign-specific discount code.

GIVE AFFILIATES A COMPLETE PROMOTION KIT

A referral link is the tracking layer. The kit is what helps someone decide to share it.

Your Rewardful referral program should give affiliates enough material to publish in less than 10 minutes. They can edit the message for their audience, but they should not have to invent the offer.

Write short copy they can adapt

Give partners a few versions. Each should state the customer problem, the product outcome, and the action.

Here is a simple email template for a B2B SaaS referral offer:

Keep claims factual. Don’t tell affiliates to promise results you can’t prove. Don’t provide a fake scarcity line if the offer has no real deadline.

For social copy, use shorter options. One version can focus on a pain point. Another can focus on a feature. A third can share a customer use case.

Match the link to the message

Don’t make every affiliate send traffic to the homepage.

A partner promoting your annual plan should link to the annual plan page. A consultant referring clients to a specific workflow should link to that workflow page. A customer advocate may need a simple product overview instead.

Keep the link destination in the asset record. Test it on desktop and mobile. Check that the page loads, describes the same offer, and preserves the referral parameter.

DISTRIBUTE MATERIALS DURING ONBOARDING

Don’t wait for affiliates to find the Assets tab on their own. Send an activation message as soon as they are approved.

The email has one job: direct the person to their dashboard, referral link, and two or three starter assets.

Use a short activation email

Send a message like this:

Your referral account is active. Log in to access your referral link, current offer details, and approved promotional materials.

Start with the email copy or LinkedIn post in the Assets area. Use the landing page that matches your audience.

Reply with your planned channel if you need a custom asset or a campaign-specific link.

Add the affiliate dashboard URL. Don’t attach a pile of files to the email. Attachments become outdated, get buried, and produce competing versions of the same material.

Give high-value partners a separate path

A newsletter owner, integration partner, agency, or creator may need more than the standard kit. Create a private asset package outside the shared library when the materials include co-marketing copy, unique offers, launch dates, or customer data.

Track performance by affiliate, campaign, asset type, destination page, and reporting period.

Keep approved and pending results separate

Use a fixed performance sheet with these fields:

Keep the original entry if a commission changes. Add an adjustment row with the date, reason, customer or invoice reference, and payout impact. Don’t overwrite history.

Review weak patterns each month

A partner with many clicks and no approved commissions may have the wrong audience. They may also be sending traffic to an irrelevant page or using old copy.

Review the full purchase path before you ask for more promotion. Test the destination. Check mobile behavior. Confirm offer terms. Review trial-to-paid conversion and refund rates.

Measure assets your team accepts as useful, not the number of files uploaded. A library full of ignored banners is not a distribution system.

MAINTAIN THE LIBRARY AS OFFERS CHANGE

Set a monthly review date. Check every active referral asset against the product, pricing page, referral terms, landing page, and campaign settings.

Pause expired promotions. Replace outdated screenshots. Remove references to retired features. Re-test every destination link after a pricing change or checkout update.

Give every asset one owner. Marketing may write the copy. Product may approve screenshots. Finance may approve commission language. One person still needs responsibility for the final active version.
